Timeline of Non-Resident Process
July 1 – Registrar’s Office sends to Student Billing Office a file containing tuition and health fees for fall 2012 for all continuing students.
July 1 – deadline for submission of fall and academic year non-resident applications
A $50 late fee applies to non-resident applications received after this date, with an additional charge of $5 for each week beyond July 1.
July 31 – any fall term 2012 or academic year 2012-2013 Leave of Absence non-resident application signed by the student by July 31 will be effective as of July 31. Students whose Leave of Absence applications are signed by them before July 31 will not be charged health fees for the month of August even when their application is approved by the GSAS Dean's office after July 31.
As a reminder, students whose fall term or academic year Leave of Absence applications are not approved by this date still have health fees for the fall term on their term bills and are thus still eligible to use health services. If a student uses health services and subsequently their Leave of Absence application is approved by the GSAS Dean's office, the student will be billed for any medical services incurred during this period.
August 1 onwards – any Leave of Absence application received by the GSAS Dean's office on or after August 1 will be effective the date that it is signed by the student. Health coverage will be end dated on the last day of the month the student’s leave is effective; UHS will apply a refund to the student’s term bill for the remaining months of coverage not used. Sometime during August – Student Financial Systems (SFS) sends a preliminary report to the National Student Clearinghouse of all students which includes the change in status of students now on Leave of Absence.
August 28 – last day of the spring term 2012
August 29 – first day of the fall term 2012, registration for fall term ends at midnight
Students who register and then submit a Leave of Absence application will have their Leave of Absence application effective the date that the student signs it. The Registrar’s Office will record their status as registered until the date the leave is effective. Health coverage will be end dated on the last day of the month the student’s leave is effective; UHS will apply a refund to the student’s term bill for the remaining months of coverage not used. If the Leave of Absence application is effective after the student completes coursework for the term, the health insurance charges will not be pro-rated and the student will have coverage for the remainder of the term of coverage, that is, until January 31. Between August 29 and September 13, students who have failed to register and then submit a Leave of Absence application will have their Leave of Absence application effective the date that the student has signed it.
August 31 – deadline for waiving Harvard sponsored health insurance. With proof of comparable coverage, continuing students may waive the Student Health Insurance Plan only. Students on Traveling Scholar status may waive both the Student Health Insurance Plan (if the student has comparable coverage) and the Student Health Fee. The online waiver is available June 1. Waivers can be completed and are held in a pending queue by UHS until UHS confirms that the student has the status that permits the waiver.
September 13 – tuition and health fees are removed from the term bills of not registered students.
Students who have failed to register and have had tuition and health fees removed from their term bills and who then submit a Leave of Absence application will have their Leave of Absence application effective August 29, the first day of the fall term. They will be charged for August health insurance.
September 13 -- SFS sends final report to National StudentClearing House of all student statuses.
December 1 -- spring term 2013 non-resident applications due
